Welcome to CF Concierge. Please read the CF Concierge Privacy Notice carefully to understand what information is collected through CF Concierge, how this information is used, and when it may be disclosed. References to “Cadillac Fairview” means The Cadillac Fairview Corporation Limited and its affiliates, including Ravel by CF Inc.

This page is a summary of some – but not all – of the important terms in the CF Concierge Privacy Notice. By using CF Concierge, you agree to the CF Concierge Privacy Notice, even if you do not take the time to read the CF Concierge Privacy Notice. The CF Concierge Privacy Notice should be read in conjunction with the CF Concierge Terms of Service and the Cadillac Fairview Privacy Policy.

Summary

  • By downloading and installing CF Concierge, you agree to the CF Concierge Privacy Notice.
  • In order to use CF Concierge, you must have an account. A building occupant in one of our buildings must authorize you to use CF Concierge. The building occupant will provide us with your first and last name, employer name, and work email address. In addition, the building occupant will provide us with a list of any services you are permitted to use. We use this information to establish your account, to provide the CF Concierge services, and to manage your account.
  • The types of additional information we collect depends on the CF Concierge services you use. For example, if you create a service request, we will collect information about your request. If you use mobile key access features to unlock doors in a Cadillac Fairview building, we will collect your location if you enable location services.
  • In addition, CF Concierge automatically collects information about the CF Concierge features, functions and services you use. For example, if you are granted a mobile key to access a Cadillac Fairview building and a building occupant’s premises in the building, CF Concierge will register the location of the card reader where the mobile key was used the date and time of each use.
  • We combine CF Concierge usage information with information collected from other users in order to understand what CF Concierge features, functions and services are useful, to identify opportunities for improvement, to identify and correct technical issues, and to better understand how authorized users make use of Cadillac Fairview properties. We may share aggregated information with third parties, including building occupants and service providers.
  • We share limited identifiable information about your use of CF Concierge with the building occupant that authorized your use of CF Concierge. For example, we will confirm what services the building occupant has authorized you to use. If you have been granted a mobile key to the building occupant’s premises, we will share information about your use of the mobile key to access the building occupant’s premises.
  • You may receive push notifications or emails for building announcements, events and offers or if you use services that allow you to make a service request, CF Concierge support request, or use other interactive services. You can turn off push notifications at any time by adjusting your device settings. You can unsubscribe from commercial electronic messages by using the unsubscribe links.
  • We use third-party service providers to deliver the features and functionality of CF Concierge and to collect and analyze usage of CF Concierge’s features, functions and services. CF Concierge is powered by services that store and process information in Canada and the United States. We may add or change services that rely on service providers who store and process personal information in other countries.
  • CF Concierge is not for use by children under the age of 13. CF Concierge may only be used by minors 13 years of age or older under the supervision of a parent or legal guardian and the building occupant who authorized use of CF Concierge.

In this CF Concierge Privacy Notice, you will find information about the collection, use, retention, disclosure and other processing of personal information through CF Concierge

CF Concierge is powered by third party service providers who will process your personal information on our behalf. In some cases, we may permit these service providers to use non-identifying information or aggregated or statistical data collected through CF Concierge to maintain and improve their services

This CF Concierge Privacy Notice provides specific information relevant to your use of CF Concierge. You should also review the Cadillac Fairview Privacy Policy for additional information on how Cadillac Fairview handles ersonal information.

Information We Collect and Use

We are continually innovating to improve CF Concierge and associated services. This section explains what information we collect today and what information we anticipate collecting in future releases. We will notify you before we collect additional personal information not described in this CF Concierge Privacy Notice or use your personal information in a new way not disclosed in this CF Concierge Privacy Notice. In addition, some services accessible through CF Concierge may have additional privacy notices.

  • Registration Information. You must be an authorized user to use CF Concierge. To become an authorized user, a building occupant in one of our participating Cadillac Fairview properties will provide us with your first and last name, employer name, work email address and information about the types of services you are authorized to use. We use this information to create an account for you and assign you account permissions.
  • Mobile Key Access. Mobile keys operate like physical passcards. Mobile keys allow authorized users to access areas of Cadillac Fairview buildings that require passcards to open locked doors. If you have been granted a mobile key, we will collect information about the permissions you have been granted as well as when and where you have used your mobile key to access a Cadillac Fairview building or a building occupant’s premises.
  • Event RSVPs. If you register for an event, we will collect your registration information, which may include your name, email address and other information relevant for the event.
  • Services and Amenities Ratings. You can rate services and amenities. We collect and aggregate this information to understand what services and amenities are useful.
  • Service Requests. You can report an issue and make a service request about a common area of the building. If you make a report or service request, we will collect information relevant to responding to the issue or your request.
  • App Support. If you contact us to ask us a question about CF Concierge or communicate with us through CF Concierge, we will collect contact information from you such as your name and email address in order to respond to your request. We will also collect information about your request and how we responded. If you are seeking technical support, we may also collect basic CF Concierge usage information, such as device type, make, model, operating system, language and other configuration settings, CF Concierge version, Wi-Fi network, and telecom provider, in order to troubleshoot and resolve your technical issue.
  • App and User IDs. When you install CF Concierge, we will assign your app a universally unique identifier (UUID) to identify the app. In addition, when you are registered for an account, you will be assigned a User ID. Services within CF Concierge may also assign you an ID. We use these IDs to manage your account permissions and to provide the services in CF Concierge.
  • App Usage Information. CF Concierge collects device information (such as device type, make, model, operating system, language and other configuration settings, CF Concierge version, whether you are connected to Wi-Fi or using cellular data) and usage information (such as what features you use and how you interact with CF Concierge). We collect this App Usage Information in order to provide the CF Concierge services, to identify security vulnerabilities and to secure our services, to create metric reports, and for troubleshooting purposes. Although this information is linked to the UUID and your User ID, we aggregate information about you with information of other users when we use your information in this way unless we are investigating or trouble-shooting an issue that affects you specifically.
  • Communication Preferences. You may receive push notifications or emails for building announcements, events and offers or if you use services that allow you to make a service request, or use other interactive services. You can turn off push notifications at any time by adjusting your device settings. You can unsubscribe from commercial electronic messages by using the unsubscribe links.

CF Concierge also allows you to access additional optional services through CF Concierge.

  • CF Eats. You can access CF Eats to order food from Cadillac Fairview retailers. If you use CF Eats we will ask for permission to use your location to provide you with faster relevant choices for retailers near you. However, you do not need to grant permission to access location in order to use CF Eats.
  • CF Connect. You can access CF Connect through CF Concierge. If you are registered with CF Connect, you can open a building services ticket, such as reporting a building maintenance issue for the building occupant.

Currently, we do not personalize content based on your use of CF Concierge. However, we may do so in the future.

Third-Party Service Providers

Like most companies, we use third party service providers and our affiliates to assist us in providing CF Concierge and associated products and services. For example, CF Concierge is powered by technology and services provided by HqO, Inc. 38 Chauncy St. 12th Floor, Boston, Massachusetts, 02111.

In addition, we use third party service providers to:

  • provide additional services, such as mobile key access, and other services
  • track app usage information for analytics purposes
  • track usage of links provided in CF Concierge for other Cadillac Fairview and third party services,
  • measure the effectiveness of our offerings of these third party services through CF Concierge.

We require third-party service providers to use personal information we share with them only for the purposes of providing services to us. However, like most companies, we may permit third-party service providers to use information in an aggregated, statistical or other non-identifying form in order to maintain and improve the services that they are offering Cadillac Fairview and other companies. These companies are not authorized to use that information to attempt to identify you or to contact you other than to provide the CF Concierge services.

When We Share or Disclose Information

  • Authorizing Building Occupants. We share limited identifiable information about your use of CF Concierge with the building occupant that authorized your use of CF Concierge. For example, we will confirm what permissions the building occupant has granted to you. If you have been granted a mobile access key to the building occupant’s premises, we will share information about your use of the mobile access key with the building occupant.
  • Affiliates and Third Parties. Cadillac Fairview shares information among its affiliates for the purposes of assisting those affiliates with their business or to fulfill your request. For example, if you make a request for building maintenance services, this request will be shared with the appropriate Cadillac Fairview property building management team. If you use other Cadillac Fairview services using the same email address you use for CF Concierge, we may link the information we have about you for purposes consistent with this Privacy Notice or as disclosed in the Cadillac Fairview Privacy Policy or another Cadillac Fairview privacy notice provided to you.
  • Analytics and Insights. We may disclose non-identifiable information such as aggregated information and statistics about how users use CF Concierge and respond to in-app offers and features to third parties.
  • Business transactions. We may disclose or transfer information to a third party as part of a business transaction, such as the sale of all or a portion of our assets. We may do this without your prior consent. However, either we or the purchaser will notify you if this happens. If another entity acquires all or a portion of our assets, information that we collected from you may be shared with that entity. The information may also be shared for the purpose of that entity considering whether to enter into the transaction and also to complete the transaction.
  • Legal purposes. We may also disclose your personal information if we are permitted or required to do so by law. For example, these circumstances include: (a) if such disclosure is necessary for us to receive legal advice; (b) to collect a debt from you; (c) if we are required to disclose your personal information in order to comply with any legal obligation or the decision of a judicial authority; (d) if disclosure is requested by an investigatory body, law enforcement official or governmental authority which has lawful authority to request the disclosure of the information in respect of an investigation; (e) if we have reasonable grounds to believe that the information relates to a breach of an agreement or contravention of a law; and (f) to detect, prevent or investigate fraud; and other purposes described in the Cadillac Fairview Privacy Policy. We also share personal information about incidents in our buildings or use of the mobile key in order to investigate the incident, file an insurance claim, report to or assist police in an investigation, and to respond to or prevent a danger to health, life or property.

Children's Privacy

You must be at least 13 years of age to use CF Concierge. If you are between 13 years of age and the age of majority in the jurisdiction in which you are using CF Concierge, you must only use CF Concierge under the supervision of your parent or legal guardian who agrees to this CF Privacy Notice and the building occupant who authorized your use of CF Concierge. If you are a parent or legal guardian of a minor or the building occupant who authorized a minor to use CF Concierge, you must monitor and supervise the use of CF Concierge by the minor and you are responsible for all actions of the minor.

Your Rights and Choices

You have the right to request access to personal information that we have collected about you. These rights may be limited by law - for example, access rights may be limited if the information is subject to solicitor-client privilege or consists of references to other persons or proprietary information that cannot be severed. You have the right to correct or update any information that we have collected about you. In some cases, if we disagree with your requested correction, we may retain the original information and note your disagreement.

In some cases, we may ask you to make your request to the building occupant who authorized your use of CF Concierge. For example, if you make a request for access to logs relating to your use of a mobile key at a building occupant’s premises, we will ask you to submit your request to the building occupant because we provide access control services to the building occupant.

You also have the right to withdraw consent to our use of personal information that we have collected about you. In some cases, you may have the right to request that we delete information if it is no longer required by us or the building occupant for the purposes for which that information was collected or for the purposes of fulfilling legal requirements or protecting our interests or the interests of our building occupants and service providers. You should be aware that it is not always possible to completely remove or delete all of your personal information from our databases without some residual copies of data because of backups, archival systems and other reasons. We will not, however, continue to use your personal information for active purposes once you have requested us not to do so.

You can opt-out of location-based services at any time by changing your device’s permissions for CF Concierge. For Android devices, open your Settings App and choose Location > App permission or Security & location > Location. For iOS devices, choose Settings > Privacy > Location Services. Security

We maintain physical, technical and administrative safeguards to protect the confidentiality and security of any personal information transmitted to us using CF Concierge. You have a shared responsibility to keep information that is collected or created through CF Concierge safe. You should use a device password, use only the latest version of CF Concierge, and install the latest security updates and anti-virus software on your device.

Location of Information

CF Concierge is powered by services that store and process information in Canada and the United States. We may add or change services that rely on service providers who store and process personal information in other countries.

Privacy Notice Updates

We may amend, update and revise this CF Concierge Privacy Notice and apply any changes to information previously collected, as permitted by law. If there are material changes to this policy or our information practices change in the future, we will notify you by a message through CF Concierge.
